Welcome to the Hakwa Operator Guide! This guide will help you manage your transport business effectively on the Hakwa platform.

1. Getting Started as an Operator

What is an Operator?

Operators are transport business owners who manage fleets of vehicles and drivers on the Hakwa platform. As an operator, you can onboard multiple vehicles and drivers, monitor their performance, and track your business earnings through our web dashboard.

Requirements

  • Registered business entity in Fiji
  • Valid business license
  • Transport operator permit (if required)
  • Tax identification number
  • Business bank account
  • Valid email and phone number

2. Registration Process

Step-by-Step Registration

  1. Visit the Hakwa web dashboard and click "Sign Up as Operator"
  2. Create your account with email (magic link authentication)
  3. Complete your business profile:
    • Business name and trading name
    • Business address and contact details
    • Tax identification number
    • Number of vehicles in fleet
  4. Upload required documents:
    • ID of business owner/director (required)
    • Business registration certificate (optional)
    • Operating license/Transport operator permit (optional)
    • Note: Without Business Registration and Operating License, you'll be labeled as "Unlicensed"
  5. Submit application for admin review
  6. Wait for verification (usually 2-5 business days)
  7. Once approved, access the operator dashboard

⚠️ Verification Process

Our admin team will verify all submitted documents. Ensure all documents are clear, valid, and match your business information. Incomplete or unclear documents will delay approval. You'll receive email notifications about your application status.

3. Vehicle Management

Adding Vehicles

  1. Navigate to "My Vehicles" in the operator dashboard
  2. Click "Add New Vehicle"
  3. Enter vehicle details (make, model, year, color, plate number)
  4. Select vehicle type (sedan, SUV, van, minibus)
  5. Set capacity (number of passengers)
  6. Upload vehicle documents:
    • Vehicle registration
    • Insurance certificate
    • Inspection report
    • Photos of vehicle (front, back, sides, interior)
  7. Submit for admin verification

Vehicle Status

Pending: Awaiting admin verification
Active: Approved and available for trips
Inactive: Temporarily unavailable
Suspended: Issue needs resolution

Rental Service Setup

Enable rental bookings for your vehicles:

  1. Select a vehicle and click "Enable Rentals"
  2. Set rental types (self-drive, chauffeur-driven, or both)
  3. Configure pricing:
    • Hourly rate (minimum hours, hourly price)
    • Daily rate (daily price, free kilometers)
    • Additional km charges
    • Chauffeur fees (if applicable)
  4. Set availability schedule
  5. Add rental terms and conditions
  6. Save and publish

4. Driver Management

Onboarding Drivers

Two ways to onboard drivers:

Method 1: Driver Self-Registration

  1. Driver downloads Hakwa Driver app
  2. Driver registers and selects your company
  3. You receive notification of new driver request
  4. Review and approve/reject in dashboard

Method 2: Operator Invitation

  1. Go to "My Drivers" → "Invite Driver"
  2. Enter driver's email/phone
  3. System sends invitation link
  4. Driver completes registration via link

Assigning Vehicles to Drivers

  1. Navigate to "My Drivers"
  2. Select a driver
  3. Click "Assign Vehicle"
  4. Choose from your available vehicles
  5. Set assignment dates (start and end)
  6. Save assignment

Monitoring Driver Performance

Track key metrics for each driver:

  • Total trips completed
  • Average rating from riders
  • Acceptance rate
  • Cancellation rate
  • Total earnings generated
  • Online hours
  • Customer feedback

5. Managing Bookings

Viewing Bookings

Access all bookings for your fleet in the "Bookings" section:

  • Active: Currently in progress
  • Upcoming: Scheduled for future (rentals, intercity)
  • Completed: Successfully finished trips
  • Cancelled: Cancelled by rider or driver

Rental Bookings

Special features for rental bookings:

  • Calendar view of vehicle availability
  • Booking details (dates, duration, type)
  • Customer information
  • Payment status
  • Ability to approve/reject rental requests
  • Assign chauffeur for chauffeur-driven rentals

6. Earnings & Reports

Earnings Dashboard

View comprehensive earnings data:

  • Total revenue (daily, weekly, monthly)
  • Breakdown by service type (hail, rental, intercity)
  • Revenue by vehicle
  • Revenue by driver
  • Platform commission deductions
  • Net earnings

💰 Revenue Split

Typical revenue distribution:

  • Total fare from rider: 100%
  • Hakwa platform fee: ~15-20%
  • Operator/Driver share: ~80-85%
  • Operator can set driver commission rates

Commission Settings

Configure driver commission structure:

  1. Set default commission rate for all drivers
